Community Schools

Welcome to Community Schools! Our office is responsible for scheduling KIBSD spaces for internal and external organizations.

In general, space reservations are on a first-come-first-serve basis, but KIBSD schools/organizations have priority over other organizations. Please keep this in mind when requesting a space.

1. Check the calendar to see when your desired location is available.

2. Request a location, date, and time. Please request a space reservation as soon as possible. To do so, follow these steps:

    • Email communityschools@kibsd.org with the following information:
    • Subject Line: [Date of event, Location of Event] Reservation Request (e.g. “October 18th Auditorium Main Stage Reservation Request”)
    • Location, Time, Date, Title, and brief description of event
    • Setup and Cleanup needs; including equipment, tables, chairs, etc. needed. This includes assistance from location employees (e.g. if your event is in the Auditorium, how long will you need Auditorium staff to be there?)
    • Your first and last name, organization you’re booking the event for, a mailing address for the organization, your phone number, and email address.
    • Community Schools aims to respond to requests within one (1) business day, but during times of a high volume of requests, it could take longer.

3. Fill out any necessary paperwork.

    • If your organization is a part of KIBSD (a school event, team event, etc.), you most likely will not need to fill out additional paperwork.
    • High School organizations and teams hosting fundraisers will need a Fundraising Activity Request form from the KHS Main Office.
    • If your organization is NOT a part of KIBSD, you will most likely fill out the following forms:
    • A Facility Use Agreement
    • Two (2) Key Sign-Out forms
    • Location specific contracts as needed (e.g. KHS Kitchen Use Agreement)
    • You may need to provide a copy of your organization’s liability insurance if KIBSD does not have a current one on file.
    • If your organization is serving/selling food, you may need a Temporary Food Service Permit from the State of Alaska.

4. Once all required paperwork is signed, dated, and returned to the Community Schools aide, your event will be put on the calendar. If your organization is not a part of KIBSD, you will then receive a copy of your signed Facility Use Agreement, which details the fees and conditions of using the requested space.

5. Show up to your event, use common sense, and follow the rules of the space.

6. Clean up after yourself!

        Gyms, foyers, cafeterias, libraries, some classrooms, Gerald C. Wilson Auditorium facilities (main stage, drama pod, choral pod, green room, dance studio, foyer), parking lots.

        Community Schools sends out a Weekly Activities Schedule to administrators at each school, but you can find most events on the Public Calendar (no sign-in required). Head on over to https://kibsd.gofmx.com to check it out!
